The Transcription Process

Upload your files directly to our workflow system. This is an easy, intuitive and one-step process. All we need to know is your email address, so we can alert you as to when your transcript is ready, and the deadline you set for us to complete your transcript.

If you want to, you can use this opportunity to specify any requirements you have, for instance, speaker identification or time stamping. You can alert us to anything you don't want transcribed, or any stronger accents or challenging aspects. You can also tell us any speaker names, complex terminology, place names or company names, for instance. 

You can also specify the transcription style you would like us to work to (see our Style Guide) or you can upload a template or formatting guide that works for you. If you don't have any specific requirements, your file will be transcribed in intelligent verbatim style on our primary client template.

As soon as you have uploaded your file(s), you will receive a job number. You can log in at any time to see the status of your transcript.

We receive an alert any time a file is uploaded to our workflow system, so no time is lost and we can get started straight away.

A transcriber is matched to your industry or sector and automatically allocated based on best fit. This means that your transcript will be completed by a transcriber who has the experience and background to understand the content, terminology and context of your sector, industry or project.

We hire the best transcribers with a wide range of backgrounds and experience. Our team is constantly evolving, built to match the needs of our client base.

The workflow system provides the transcriber with two versions of your audio file, one of which is optimised for voice. All of these measures seek to ensure you get the highest quality transcript.

We work to the deadline you set, taking in any specifications you made at the time of upload.

We operate a two-tiered quality check process. This is a built-in function of our streamlined workflow software. All completed transcripts go through a second quality check process before being returned to you.

You will be notified as soon as your transcript is ready to download.

You will receive notification via email that your transcript is complete and ready for you to download. The email will direct you to your own secure login area of our workflow system where your transcript is stored.

If you are working on a project with a larger team, or colleagues you work with, we can ensure notifications and secure access is also provided to those you specify. This ensures seamless project management of the transcription process for our clients.

You will receive your invoice after you have received your transcript. If you have uploaded multiple files and more than one transcript is to be produced, the invoice will be sent after we have completed and returned all transcripts to you. For regular clients, we send monthly invoices for ease of administration and reduced paperwork.

We work with the best transcribers who are experienced in their field with excellent attention to detail and a great command of the English language. Each transcript is transcribed and then fully proofread for a two-tier quality assurance process that is built into our client workflow system.

Our remit is to work with you to the very end, making all reasonable adjustments to any document free of charge. We care about delivering highest quality.

If, for any reason, you feel we have not met your brief and you are dissatisfied with our transcription service, you will not be charged for any work carried out, or we will provide you with a full credit for any work already billed.
